How to run the tools, not just which to buy — deliverability, list hygiene and the parts of cold email that no product fixes for you.
Where to start
If you are setting up cold email from scratch, the order matters more than the tools. Each step assumes the one before it is done, and skipping ahead is the most common reason a well-chosen sender still lands in spam.
- Authenticate the domain. Publish SPF and DKIM so providers can confirm your mail is yours, then add DMARC on top. Free, done once per domain, and nobody can do it for you. Start with SPF and DKIM without the guesswork, then what DMARC is and how to set it up.
- Clean the list. Remove the addresses that would bounce before you send to them, and know which ones no verifier can settle. See what list cleaning catches and what it cannot and why catch-all domains stay unresolved.
- Warm up the inboxes. A new domain has no sending history, and warm-up builds one. It cannot make up for the two steps above. Read what warm-up builds, and what it cannot.
- Test before you scale. Check where your mail actually lands before raising volume, and know what a placement test can and cannot tell you. See what a deliverability test measures.
Switching tools
If you already have a stack and are thinking of moving, start from the tool you are leaving: Instantly alternatives, Apollo.io alternatives, Reply.io alternatives and Hunter.io alternatives. Each one separates what the tool actually does for you from what you are paying for alongside it.
